How to Submit Your Documents

  1. Log into your my.brocku.ca student portal and check the document status window for any documents the Admissions Office requires. The sooner you submit your documents, the sooner you will receive a decision and any potential transfer credit(s). 
  2. Unofficial documents may be sufficient in order to receive a decision on your application but an official version of the documents will be required to complete your file.
  3. When uploading unofficial documents, please ensure your full name and the institution name are legible on the documents. You must report all previous academics.
  4. Check your my.brocku.ca student portal regularly for any additional document requests by Admissions. All decisions and any potential transfer credit will also be communicated here.

Unofficial Documents

Unofficial documents are documents in your possession that were issued by the awarding institution or body. These documents must be uploaded directly to your student portal (my.brocku.ca).

Examples of unofficial documents; screenshot of your final grades, a scanned photocopy of your transcript, a screenshot of your current course registration, a picture of your previous certificate/diploma/degree etc.

Official Documents

If you accept an offer of admission based on unofficial documents, you will be required to have final official academic documents/transcripts sent from each secondary school, college, university or proper issuing authority directly to Brock University, Undergraduate Admissions. 

These documents may never be in your possession and cannot be uploaded using your applicant portal. All official documents must be submitted in order to begin studies.  

Electronic documents directly from the issuing institution are acceptable and can be emailed to admissions@brocku.ca.

Transcript and Document Translations

If you are submitting a document or transcript that is not in English, you must also submit an English translation.

Original translations will be accepted from one of the following:

  • the consulate, high commission or embassy to Canada of the country where the documents were issued;
  • a Canadian embassy, consulate, high commission in the country from which you emigrated;
  • a translator accredited by a professional association of translators in Canada. To obtain the name of an accredited translator contact the Association of Translators and Interpreters of Ontario (ATIO) at 1-800-234-5030 OR 613-241-2846 (email: info@atio.on.ca; web site: atio.on.ca);
  • a translator who has received accreditation through a federal, provincial or municipal government in Canada;
  • If the ATIO is unable to provide a translator for the language you require, you may contact COSTI-IIAS Immigrant Services at 416-651-1496, or email languages@costi.org.

The translator must include a photocopy of the original document(s) from which the translation was prepared, as well as an original statement indicating:

  • that the translation is accurate and authentic;
  • that the translator belongs to one of the categories listed above (identification number and/or seal, name, address, and telephone number required);
  • printed name and signature of the translator.

Note: Ontario universities may require international undergraduate applicants to have official academic transcripts submitted directly to World Education Services (WES) Canada for verification as part of the admission process. Universities will notify applicants about specific submission requirements through WES Canada. While Brock University does not require applicants to submit documents through WES Canada, we will accept and consider official any authenticated and verified documents received directly from them.

Note: Brock University reserves the right to withdraw the final offer of admission or revoke registration if there is a discrepancy between documents originally submitted and the official, final documents/transcripts submitted to Brock either directly or via WES Canada.
